Gardeners Sutton Health and Safety Policy
Gardeners Sutton is committed to providing professional gardening and grounds care services in a safe and responsible manner. The health, safety and welfare of our clients, the public, our employees and any contractors working with us are a core priority in every task we undertake. This policy sets out how we manage health and safety in our day-to-day work and how we aim to continually improve our performance.
Our Health and Safety Commitment
We recognise our duty to prevent injury, protect health and minimise risks arising from our gardening operations. Management will provide the leadership, resources and support required to maintain safe working conditions and to promote a positive safety culture throughout the company.
All staff are expected to take personal responsibility for following safe working practices, reporting hazards and looking after their own safety and that of others who may be affected by their work.
Legal Responsibilities
Gardeners Sutton complies with all relevant health and safety legislation and associated codes of practice that apply to gardening, landscaping and grounds maintenance services. We monitor changes in regulations and adjust our procedures, risk assessments and training as necessary to maintain compliance.
Employees and contractors are required to co-operate with these legal duties by following company procedures, using equipment correctly and reporting any concerns or incidents without delay.
Risk Assessment and Safe Systems of Work
Before starting work at any site, we identify potential hazards and assess the risks associated with our tasks, including the use of powered machinery, manual handling, work at height, use of chemicals and interaction with the public. Findings from these assessments are used to establish appropriate control measures.
Safe systems of work are developed and communicated to all staff. These include clear instructions on the safe operation of machinery, the correct use of personal protective equipment, manual handling techniques and specific site rules. We review risk assessments regularly or following any significant change in work methods, equipment or incident reports.
Training, Competence and Supervision
Gardeners Sutton ensures that all employees receive appropriate health and safety training relevant to their roles and responsibilities. This may include induction training, equipment operation, safe use of ladders and access equipment, handling and application of horticultural products, first aid awareness and emergency procedures.
We only allow staff who are trained and deemed competent to operate machinery and undertake higher risk activities. Less experienced team members are supervised until they can demonstrate they are able to work safely on their own. Refresher training is provided when necessary, particularly when new equipment, processes or regulations are introduced.
Use of Equipment and Machinery
All gardening tools, machinery and vehicles used by Gardeners Sutton are maintained in a safe condition, inspected regularly and serviced in accordance with manufacturer guidance. Defective or damaged equipment is taken out of service immediately and not used again until it is repaired or replaced.
Operators must follow all safety instructions, including using guards, emergency stops and cut-off devices, and must never override or tamper with safety features. Only authorised staff may carry, use or transport powered tools and machinery on site.
Personal Protective Equipment
We provide suitable personal protective equipment where risks cannot be eliminated or adequately controlled by other means. Depending on the nature of the work, this may include protective footwear, gloves, eye and face protection, hearing protection, high-visibility clothing, respiratory protection and weather-appropriate clothing.
Employees are required to wear and look after the protective equipment issued to them and to report any loss or damage promptly so that it can be replaced. Personal protective equipment is selected to meet recognised standards and is checked regularly for condition and suitability.
Chemicals and Hazardous Substances
Where our services involve the use of horticultural chemicals or other hazardous substances, they are selected, stored, transported, used and disposed of in accordance with legal requirements and manufacturer safety data. We always seek to minimise the use of hazardous products and look for safer alternatives where practical.
Only trained and authorised staff may handle or apply these substances. Appropriate controls are used to protect people, animals and the environment from exposure, including using correct dosages, designated storage, spill procedures and ensuring treated areas are clearly identified when necessary.
Manual Handling and Work at Height
Gardening work often involves lifting, carrying and moving tools, plants, soil and materials. We aim to avoid hazardous manual handling as far as reasonably practicable by using mechanical aids, breaking loads down into manageable sizes and planning tasks to reduce unnecessary movement.
When work at height is required, such as pruning trees or hedges, we use appropriate access equipment and follow recognised safe practices. Staff are trained in the correct use of ladders and other access systems, and work at height is planned and supervised to reduce the risk of falls.
Public and Client Safety
Many of our gardening activities take place in residential gardens, shared outdoor spaces and other areas where clients, visitors and members of the public may be present. We plan our work to reduce disruption and protect others from harm.
Where necessary, we use barriers or clear signage to keep people away from work zones, machinery and hazardous areas. We keep workspaces as tidy as possible, store tools securely when not in use and ensure that access routes are kept clear. Any hazards identified on a client’s property that may pose a risk are reported to the client as soon as practicable.
Accidents, Incidents and Emergency Procedures
All accidents, near misses and dangerous occurrences must be reported immediately to a supervisor or manager. We keep records of incidents, investigate their causes and implement corrective actions to prevent recurrence.
Our teams are briefed on emergency arrangements, including first aid, fire safety and dealing with severe weather. Vehicles and work teams have access to appropriate first aid supplies. Where required, we will cooperate with emergency services and site representatives to manage incidents effectively.
Monitoring, Review and Continuous Improvement
Gardeners Sutton monitors health and safety performance through workplace inspections, incident reports, feedback from staff and clients and periodic policy reviews. We use this information to identify trends, address weaknesses and improve our systems and procedures.
This Health and Safety Policy is reviewed regularly and updated when changes in legislation, company operations or industry best practice make it necessary. All employees are made aware of any significant changes and are encouraged to contribute ideas to help improve safety across our gardening services.
Responsibilities and Communication
Overall responsibility for health and safety rests with the company management, who ensure that adequate arrangements, resources and support are in place. Supervisors are responsible for implementing this policy on site and ensuring that staff follow safe working methods.
Every employee has a duty to care for their own health and safety and for the safety of others who may be affected by their actions. Open communication about health and safety is encouraged at all levels of the business, and concerns can be raised at any time so they can be addressed quickly and effectively.
